Event & Membership Coordinator

EVENT AND MEMBERSHIP COORDINATOR
NAPCOR is seeking a dynamic and organized individual to join our team as an Event and Membership Coordinator. This role combines event planning expertise with strong organizational skills to ensure the successful execution of our member meetings and the efficient management of our member companies and associated contacts.

Please note that you will be acting as an Independent Contractor (1099 status), not as an employee of NAPCOR. There are no benefits associated with this position. While this role will require approximately 20 hours per week, you will have the ability to make your schedule – as long as you get the work done and you can attend required calls and meetings. This position is remote.

Event Planning:
Coordinate and execute three in-person member meetings per year, including:

  • Venue selection, contract negotiation, and liaising
  • Manage event itinerary and agenda in cooperation with staff team
  • Guest speaker coordination
  • Registration and attendee management
  • On-site event logistics
  • Budget tracking and reporting

Membership Coordination:

  • Maintain and update membership roster and contact database
  • Provide excellent and timely member support and customer service
  • Manage access to restricted online resources reserved for members; other website maintenance
  • Assist with membership recruitment and retention initiatives
  • Coordinate with accounting regarding membership payments

Additional Duties:

  • Provide administrative support as needed
  • Assist with other projects as assigned

QUALIFICATIONS
Proven experience in event planning and coordination
Strong organizational and time management skills
Excellent interpersonal and communication skills
Proficiency in Microsoft Office Suite or similar software
Experience with WordPress CMS
Experience with membership and event management systems (preferred)
Ability to work independently and as part of a team
